Mobile phone systems for recruitment agencies
YOUR TOP BILLER JUST RESIGNED.
EVERY CANDIDATE HAS HER MOBILE.
Candidate calls, offer negotiations, "quick chat about a role" texts - all on the consultant's personal mobile. When she moves to a rival agency, the candidate book moves too, and next time a candidate rings "their recruiter", she answers on a competitor's desk.
ONSIM makes every consultant's number an agency asset, natively ON-A-SIM. When someone leaves, their number moves to a replacement's SIM in minutes - the candidates and clients stay with your agency.
Hunt groups mean a hot candidate always reaches a consultant, and every call is logged, answered or not - including the twenty attempts you made on a role.

The candidate book lives in a phone. Make it yours.
Tailored Phone Solutions for Recruitment Agencies
Key Features Built for the Desk:
An agency phone system that lives on the handsets your consultants already carry. No apps, no desk phones, no VoIP - the agency's numbers, on the team's SIMs, with routing and records behind them.
Numbers That Belong to the Agency
Every consultant's number is issued to the agency, not the individual. When a consultant leaves, reassign their number in minutes - to a replacement's SIM, a colleague's SIM, a hunt group or an IVR menu, with incoming texts delivered to email, no SIM required. The candidate book reaches your desks, not a rival's.
Prove the Twenty Calls You Made
Real-time call logs include attempted calls - outbound calls that rang unanswered. When a client questions whether you really worked their role, or a contact SLA asks for evidence, you have a timestamped record of every dial, connected or not. Most mobile networks cannot show you this at all.
Recording for Offers, Rates and Right-to-Represent
On-network call recording (an optional paid add-on) captures what was agreed on the offer, the rate and the representation - at network level, with nothing for consultants to remember to press. With recording enabled, SMS is captured alongside calls.
A Hot Candidate Always Reaches a Consultant
Hunt groups, included on 2+ user accounts, ring the whole desk simultaneously or in sequence, and failover passes unanswered calls to a colleague. A candidate calling back about an interview never dies in one person's voicemail while a rival agency picks up first time.
Texts from the Business Number
Consultants text candidates from the agency's number, not their personal one - and when a desk is vacant, incoming texts to that number can be delivered to email, so a candidate replying "yes, put me forward" is never missed while you recruit a replacement.
Routing That Follows the Working Day
Time-of-day routing sends calls to the desk in office hours and the duty consultant or voicemail after, holiday routing covers leave without call forwarding rituals, and you change it all yourself in the dashboard - no tickets, no engineer.
"She answered. She bills for someone else now."
Recruitment is a relationship business, and the relationship lives in a phone. Candidates do not save the agency switchboard - they save the consultant's mobile, because that is the number that rings when there is an interview, an offer, a counter-offer at 8pm. When that consultant hands in her notice, restrictive covenants or not, the next call from her best candidate goes straight to her - and she answers it at a rival agency.
The agency that sourced the candidate, formatted the CV and warmed the client never even knows the placement was in play. That is the cost of running a sales floor on personal mobiles: the number is the relationship, and the number walked out the door in someone's pocket. It is not the consultant being evil, it is the system doing exactly what it was set up to do.
On ONSIM the numbers belong to the agency. When a consultant moves on, their number is reassigned in minutes - to a replacement's SIM, a colleague's SIM, a hunt group of the desk or an IVR menu, with incoming texts delivered to email, all without an active SIM. The number stays live and the callbacks ring your office, not their new employer. Existing numbers - including mobile numbers candidates already have saved - can be ported in and managed the same way. Recording and attempted-call logs then give you the evidence layer: what was agreed on the rate, and proof of every call your team made on a role.

Customer case study
A 250-agent medical recruitment agency closed its call recording gap in under a week
With no access to call audio, a large UK medical recruitment agency carried real compliance and income risk. ONSIM Landline SIMs with recording closed the gap, feeding recordings straight into their own systems.

Still have doubts?
Our consultants already give candidates their own mobile numbers. How do we get that back?
Two routes, and most agencies use both. New consultants get an agency-owned number on a Landline SIM (physical or eSIM) from day one, so candidates only ever save an agency number. For numbers already in circulation, if the number is a business asset you control, port it to ONSIM and it becomes reassignable like any other - candidates keep calling the number they have saved, and the agency decides whose handset it rings.
Can we port in the mobile numbers our consultants already use?
Yes. Existing UK mobile numbers can be ported in and managed exactly like any ONSIM number - reassignable, routable, and recordable if you enable the recording add-on. Port-in is included on the Landline SIM and a one-off £20 + VAT on the Virtual Landline. Candidates and clients notice nothing: the number they have saved just keeps working, now under the agency's control.
What actually happens to a number when a consultant resigns?
You reassign it in the dashboard, typically within minutes - and it does not need a SIM waiting for it. Point calls at a replacement's SIM or eSIM, a colleague's SIM, a hunt group of the desk or an IVR menu, and have incoming text messages delivered to email while you recruit. The number never goes dark, callbacks from the leaver's candidate book reach your team from day one, and the leaver's personal number and personal life are untouched - which is exactly why consultants should never have been using personal numbers for business in the first place.
Can we prove to a client how many calls we made on their role?
Yes. ONSIM's real-time call logs include attempted calls - outbound calls that rang unanswered - timestamped against the number dialled. When a client questions whether you really worked the role, or a contact SLA requires evidence of activity, the record of every dial exists whether or not the candidate picked up. Read why other networks don't log attempted calls.
Does call recording help with offer and right-to-represent disputes?
Placements are agreed by phone: the rate, the start date, the offer the candidate accepted, whether you had the right to represent them for that role. On-network recording (an optional paid add-on) captures those calls with nothing for consultants to remember to press, and with recording enabled, SMS is captured alongside calls. When a candidate appears on a duplicate submission or a rate is disputed at invoice time, you have a contemporaneous record rather than competing recollections.
Do we have to tell candidates and clients calls are recorded?
If you enable recording you are responsible for using it lawfully - in practice UK businesses typically inform callers, for example with a short announcement or a line in your terms of business. Recording is off by default and only enabled if you opt in. See mobile call & SMS recording. This is not legal advice.
A candidate calls back and their consultant is on another call. Then what?
That is the failover. If the consultant does not answer (on a call, in a client meeting, on holiday), the call passes to a colleague, a hunt group of the desk, or the office number, in an order you choose. A candidate ringing back to accept an offer never ends up in a personal voicemail box while a rival agency answers first time.
Can candidates text the agency number, even when a desk is empty?
Yes. Consultants send and receive texts on the agency's number, and incoming texts to any agency number can be delivered to email - so a number with no active SIM behind it, such as a vacant desk or a departed consultant's number, still receives "yes, send my CV" replies where the team can action them. Note this is for incoming texts; incoming calls route to SIMs, hunt groups, IVRs or voicemail rather than email.
We have branches in several cities - can each keep a local number?
Yes. Each branch keeps or picks its own local number - see local numbers for every UK area code - with its own routing and hunt group, all under one account. A SIM can carry more than one number, so a consultant covering two markets displays whichever branch number suits the call. A local number also gets answered: candidates screen unknown mobiles far more than local landlines.
What does it cost, and does the PSTN switch-off affect it?
The Landline SIM is £10/user/month + VAT with unlimited UK calls and SMS, hunt group included on 2+ user accounts, and UK data bundles from £2. A Virtual Landline at £5/month + VAT suits a single advertised number forwarded to a mobile. Recording is a paid add-on - most SMB customers pay £20/user/month + VAT all-in for a recorded user - and AI Insights transcription is a further opt-in add-on. Everything runs at mobile network level, not over your broadband, so the PSTN switch-off does not affect it - and an existing office landline number can be ported in before the copper line is retired. Monthly rolling, cancel any time.
